Our problem was never getting leads. We were spending close to a lakh a month on 99acres and MagicBricks between the two offices. The problem was that a lead would come in at 8:40 in the evening, land in somebody's WhatsApp, and by the time anyone looked at it properly the person had already spoken to three other dealers. I know this because I called some of them back myself and they told me.

We had about 1,400 old enquiries sitting in an Excel file that nobody had touched since 2024. Everyone in the office had privately decided that file was dead. It was not dead, it was just unsearchable.
When we imported it, the requirements came in as actual fields, so a 3 BHK budget-1.4-crore Kakkanad enquiry from eighteen months ago is now a record that shows up on its own when a matching flat is added. In the first three months we closed three deals from that supposedly dead list. That alone paid for the software for several years.
The rental thing matters more than it sounds. We do both sale and rental, and previously an agent would send a sale listing to someone who wanted a rental, because both were just rows. Purpose is a field on both sides now, so it simply cannot happen. My phone stopped getting those complaint calls.

I work alone with one assistant. Every CRM company I contacted before this wanted a minimum of five or ten users. One of them told me on a call that they do not really serve individual brokers. So I stayed on my diary and my phone for another two years.
Here I pay for two seats and that is it. No minimum, no negotiation, nobody asking me for my annual turnover before telling me a price. The price was on the website. I appreciated that more than any feature.

In land, the base rate is the easy part. The argument is always about the corner charge, the park facing, the wider road. Every agent in our office used to calculate those slightly differently in their own notes, and the client would get one number on WhatsApp and a different number in the final sheet. That conversation at the closing table is the worst part of this business.
Now PLC is a proper field. Percentage, per gaj, or a flat amount, whichever the developer uses, and the total is calculated the same way for everybody. Since the recent update we can also add our own charge names from Settings, so our east-facing premium is in there now instead of living in someone's head.
I timed it once out of curiosity. Preparing a proper quote with charges used to take one of my juniors about twenty minutes with a calculator and a lot of double-checking. It is under two minutes now, and I trust it more.
We hold six hundred plus plots across four locations. Being able to see which ones are actually available versus under negotiation, without calling three people to ask, is the second big thing.

I was spending on three portals plus Facebook and I could not have told you honestly which one produced closings. I had a feeling about it, but a feeling is not a decision.
Because the lead source is set at capture and stays attached all the way to the closed deal, after four months I had a real answer. One channel was giving me volume and almost no conversions. Another was giving me a third of the leads and most of the money. I moved about thirty four thousand a month out of the first one and into the second.

This is not a happy story but it is the reason I recommend the software. In 2024 an agent left us and took his contacts, because his contacts were a Google Sheet he had full access to and a phone full of chats. We lost several relationships we had spent years building. There was nothing to argue about, legally or otherwise.
Last year another agent resigned. This time I removed his access the same afternoon. Every lead, every note, every call he had logged stayed in the system. His replacement read the history and picked up conversations mid-thread, and clients did not feel dropped. One of them told me she did not realise there had been a change for two weeks.

We were on a well-known global CRM for three years with a partner who had built property objects for us. It worked, in the sense that it existed. Every change request was an email, a quote, and a two-week wait. We were paying eighteen thousand a month in retainer on top of the licences, mostly so somebody would keep our custom build alive.
The thing that broke my patience was a request to add a field for who the seller was on a specific unit in a multi-unit project. In our old setup that was apparently a data model change. Here it is just how inventory works, because the product assumes a project has many units and each unit has a seller.
Migration took two days including checking. Our data went in as CSV, the fields lined up because they were the right fields to begin with, and nobody had to be retrained on a custom vocabulary that only our consultant understood.
I will be fair to the old system: it did reporting things this does not. We do not miss them. We looked at those reports maybe twice a year and paid for them twelve times a year.

Everything in Gurugram happens on WhatsApp. A client calls, you talk for four minutes, and then they expect three options in their chat before they hang up. Previously that meant an agent opening the listing sheet, copying details, retyping the price, hunting for photos, and getting one of those details wrong roughly a quarter of the time.
Now the property details come out formatted and correct, and there is a preview the agent can edit before sending. The preview matters. My agents write differently to an investor than to a family buying their first home, and the software does not force one template on them.
The wrong-details problem was the real cost. Sending a price that is off by a few lakhs and then correcting it makes you look like you do not know your own inventory. That has basically stopped.
One request I will make publicly since I have already made it privately: I would like scheduled sends. Sometimes an agent finishes a shortlist at 11 pm and I would rather it go out at 9 am.

We are a small builder, not a big developer. Three projects running, about ninety units total. Our old process was a master sheet that the site people updated and the sales people did not trust, plus a lot of phone calls asking whether B-304 was still available.
Twice we had two agents negotiating on the same unit with different buyers. That is a genuinely awful conversation to have with a customer.
Now each project holds its units with individual sizes and statuses, and the status is the same status everyone sees. The double-booking problem simply ended. As a channel partner our headache is that every developer wants their leads reported their way, and our own team just wants one list to work from. We used to keep separate files per developer and a master file that was always out of date.
Now everything sits in one pipeline with the project attached, and I filter by developer when I need to send a report. Nobody maintains five files anymore. That is maybe six hours a week of somebody's life returned to them.
The commission tracking sorted out an ongoing irritation. When a booking is recorded with the agent and the project attached, working out who is owed what at month end is arithmetic instead of an argument. My team is out most of the day. The old routine was that they would write things in a notebook and then either update the sheet at night or, realistically, not update it. Whatever they remembered by evening is what got recorded, which is not the same as what happened.
With the phone app they update the lead sitting in the car after the visit. It takes them thirty seconds. Because it happens immediately, the notes are actually about what the client said, not a vague summary written six hours later.
I will be honest about one thing: the mobile experience had rough edges when we started, especially some of the forms where text was getting cut off on smaller phones. I complained about it. Our buyers take four to seven months. In that window a client mentions that their son finishes school in June, that they cannot look at anything above the third floor, that they hated the last project because of the approach road. Those details are the entire relationship, and they were living in six different agents' memories.
Notes on the lead record changed how our conversations sound. An agent opens a call knowing what was said in March. Clients notice. Several have commented that we seem to remember them better than the bigger firms they also spoke to.

Half our business is rentals, which most property software treats as an afterthought. In our old system a rental enquiry and a sale enquiry were the same kind of row with a note at the end, and every week somebody would send a sale listing to a tenant looking for an eighteen thousand a month flat.
Purpose being a real field on both the requirement and the property means a rental enquiry only ever sees rental inventory. It is such a simple thing and it removed a weekly embarrassment.

In Panchkula and Chandigarh everything is marla and kanal. A ten marla plot, a one kanal kothi. Software written for Mumbai or Bangalore has no idea what those are, so my team was converting to square feet by hand and then converting back for the client.
Every hand conversion is a chance to be wrong. One marla is 272.25 square feet, not 272, and on a large deal that rounding shows up. Having the units in the system with exact conversion removed a whole class of mistake we used to just accept as normal.
With three hundred plus listings, the search by size in the unit the client actually uses is what my agents rely on daily. A client says one kanal, the agent types one kanal.
There are things I still want. Better print-ready property sheets, mainly, and eventually some kind of integration with our accounting. But for what we do every day it fits north India better than anything else we tried.
